Switching salon software is less scary than it sounds, as long as you do it in the right order. This checklist keeps every client, every balance and every booking.
Before you start: list what you need to keep
- Clients (names, phones, emails, notes, birthdays)
- Services (names, prices, lengths)
- Products and stock
- Open gift card balances
- Open package balances (visits remaining)
- Upcoming appointments
- Staff details and commission rates
Step 1: export everything
Most systems export clients and services as CSV files. Ask your current provider for any export you cannot find; your data belongs to you. Keep the files somewhere safe.
Step 2: set up the new system
Create your business, location, staff and commission rules. Import services and products. In GetSpaPOS this takes about half an hour; see how to get started.
Step 3: import clients and check a sample
Import the client file, then open ten clients at random and check names, phones and notes. Fix column mapping problems now, not after go-live.
Step 4: run both systems for a week
Ring up real tickets in the new system while keeping the old one open for reference. The front desk learns checkout; technicians learn to clock in and check turns.
Step 5: switch day
| Task | Why |
|---|---|
| Final export of gift card balances | So nobody loses money |
| Final export of package balances | So nobody loses visits |
| Re-book or import upcoming appointments | So nobody is forgotten |
| Update booking links on Google and Instagram | So new bookings land in the new system |
Step 6: cancel the old system
Only after a final export and a full week on the new system.
GetSpaPOS migration is free: send your export files and we map the columns for you. How switching works.
